The Opportunity
We are looking for candidates for the position of Clinical Site Coordinator to join the Clinical School Johor Bahru. The incumbent coordinates all teaching and learning activities at Clinical School Johor Bahru (CSJB) and all clinical sites. The position works with a team of professional staff in providing administrative support to students and academic staff during the clinical year attachments at the clinical sites.
  • Support for MBBS curriculum implementation
  •  Work closely with the Senior Manager, Education and Course Management to plan and prepare timetables for students and academic staff to ensure all teaching and learning activities conform with Australian Medical Council (AMC) and Malaysian Medical Council (MMC) requirements.
  •  Update study guides, log books and teaching materials based on the latest curriculum development and implementation.
  •  Provide administrative support to students and academic staff in curriculum implementation as and when required.
  •  Provide input and recommendations for improvement in meeting the needs of curriculum implementation at CSJB.
  •  Play an active role in the Malaysia Program Curriculum Committee (MPCC) and contribute effectively to the development of curriculum.
Liaison and key contact person for various clinical sites
  • Maintain close contact and serve as liaison to the all teaching staff who teach/supervise the students at various clinical sites. 
  • Serve as key contact person between clinical sites such as hospitals, community clinics and CSJB in handling matters related to students and teaching activities.
  • Liaise with professional staff at the Sunway Campus as well as Clayton Campus in Australia to ensure effective and efficient coordination of all teaching and learning activities.
  • Provide the most up-to-date student information to various hospital directors and relevant departmental heads when required
  • Liaise with doctors and nurses at the Hospital Sultanah Aminah, Johor Bahru (HSAJB), Permai Hospital and community clinics to ensure seamless clinical teaching
  • Administrative support
  • Provide secretarial support in organizing Year committee meetings, appointments and engagements ensuring that all relevant papers such as agendas, minutes, reports and proposals are available
  • Provide accurate and up-to-date academic staff timetables and teaching loads for budget allocation and recruitment planning
  • Distribute and collect weekly attendance sheets to various group leaders
  • Submit sessional teaching hours based on weekly attendance sheets before the monthly cut-off date for monthly sessional staff payment
  • Coordinate with Clinical Site Coordinators from Australia to arrange the clinical attachment of exchange students at CSJB throughout the rotation
  • Contribute to the maintenance of staff and student personal details database as well as support for adjunct and sessional staff appointment

  • Work closely with the Senior Manager, Education and Course Management  to coordinate all teaching and learning activities at CSJB, HSAJB, Permai Hospital and community clinics
  • Supervise students at various hospitals and community clinics to ensure effective running of the teaching and learning activities
  • Assign tutor to supervise and teach students during off-site visits such as Orang Asli settlement and factory visits
  • Coordinate responses to email and/or virtual enquiries about students and teaching activities
  • Provide assistance to the tutors during clinical skills teaching and safety modules by preparing all medical equipment and mannequins.  Provide interpreting services to patients for which employed between staff and patients/patient’s relatives.
  • Answer phones and communicating with internal and external stakeholders in a courteous and professional manner.
  • Utilize a booking system to receive, place, allocate, confirm and update requests for interpreters in a manner that leads to the most cost effective outcome for the department.
  • Assessments, written exam and objective structure clinical examination (OSCE)
  • Work closely with the Senior Manager, Education and Course Management to plan and assign doctors to appraise students’ assessments such as Mini Case Reports (MCRs), Evident Based Clinical Practice (EBCP), Pre-Internship Appraisals (PIAs) and Professional Behaviour Appraisals (PBAs)
  • Coordinate and communicate with the relevant person-in-charge for the collection of PIAs from various teaching sites in Johor Bahru and Klang Valley
  • Collate in-semester assessment marks and forward the reports to the relevant parties
  • Secure examiners from the pool of full-time, fractional doctors and sessional staff for OSCE.
  • Recruit simulated patients based on criteria set in the station and schedule training sessions with respective Discipline Coordinators
  • Ensure the smooth running of exams by performing invigilation duty during written and clinical exams.
  • Oversee the preparation of required medical equipment, tools and mannequins for clinical skill stations

Marketing and Event Support
  • Organise demonstration/workshop in clinical skills and simulations for visitors during Open Day, MBBS Preview and other in-house marketing related programs
  • Provide assistance in conferences, workshops, health enhancement and other events organised by the Clinical School
  • Liaise with NGOs in teaching and research related activities.

Undertake other specific and/or related tasks, roles and duties as assigned from time to time by the Senior Manager – Education and Course Management or Deputy Heads of Clinical School or Finance and Resources Manager
The appointee will have:
  • A nursing diploma/degree or relevant experience in a health related field.
  • Have in-depth knowledge/ experience of working in a government / private hospital.
  • Excellent oral and written communication skills in English and Bahasa Malaysia.
  • Knowledge and Skills
  • Sound organizational skills with demonstrated ability to plan ahead, make decisions, schedule work effectively and adhere to tight time lines.
  • Ability to work independently and as part of project team.
  • Excellent working knowledge of computer packages especially database (e.g. Access, Excel, etc)
  • Ability to manage and supervise a team of staff.
  • Prior experience in a University setting preferably in a medical/biomedical/science environment would be an added advantage.
  • Able to work beyond normal working hours, as and when required.
  • May be required to work on weekends to support University organized events.
  • Leave may be restricted during peak periods.
  • May be required to travel to all Monash campuses for work assignments.
